About Us
Village of Healing is a 501(c)(3) community development and healthcare organization with a new approach to community wellness. By focusing on healing and empowering individuals in the village, we work to eliminate social determinants of health and decrease health disparities through community programming, advocacy, collaboration, and healthcare services. Our mission is to offer members of the community life-empowering skills through multiple sources and mediums that help heal and empower the village. We work to advance health and well-being that supports not only surviving, but thriving.

Position Summary
Village of Healing is seeking an experienced, highly organized, and self-directed Finance & Accounting Manager to take ownership of the organization’s internal accounting structure and day-to-day financial management operations.

This is a hands-on position for an experienced nonprofit finance professional who can quickly assess an existing financial environment, identify priorities, strengthen processes, and assume ownership of core accounting functions. The role reports directly to the Chief Executive Officer and is expected to independently manage the accounting function while partnering with program, grants, healthcare operations, payroll, billing/revenue-cycle partners, and the organization’s external CPA/audit firm.

The Finance & Accounting Manager will be responsible for the integrity of the organization’s financial records; general ledger and accounting operations; timely month-end close; financial statement preparation; multiple organizational, departmental, program, and grant budgets; grant and restricted-fund accounting; healthcare revenue and receivable reconciliation; payroll and personnel-cost allocations; cash-flow reporting; audit readiness; internal controls; and scalable financial policies, procedures, and systems.

This role requires a finance professional who can enter an existing financial environment, assess the full accounting structure, establish priorities, resolve discrepancies, strengthen controls, create disciplined financial processes, and carry work through to completion without extensive day-to-day direction. The successful candidate must be comfortable overseeing several budgets and several grants simultaneously while producing reliable, decision-ready financial information for the CEO.

Village of Healing receives revenue from a combination of grants, healthcare reimbursement, and philanthropic support. As the organization expands healthcare services and increases revenue from Medicaid, commercial insurance, and self-pay reimbursement, the Finance & Accounting Manager will ensure the accounting structure, controls, reconciliations, and reporting processes support a diversified, compliant, and sustainable revenue model.

CPA licensure is not required. Village of Healing is seeking demonstrated nonprofit financial management expertise, strong accounting judgment, substantial grant and restricted-fund accounting experience, and the proven ability to independently oversee and improve a complete internal accounting function.

WHAT ARE WE LOOKING FOR
The successful candidate will be a hands-on nonprofit finance and accounting professional who can independently own the internal accounting function from transaction integrity through month-end close and management reporting. This person must be highly proficient in grant and restricted-fund accounting, capable of overseeing multiple budgets and funding streams, and able to understand or quickly master healthcare reimbursement accounting.

The Finance & Accounting Manager must be able to produce accurate and timely financial information for the CEO, maintain audit-ready books and supporting documentation, coordinate effectively with the external CPA/audit firm, and build financial processes that scale as Village of Healing grows. This role is particularly well suited for someone who combines technical accounting skill with operational problem-solving—someone who can identify what needs
attention, determine the appropriate course of action, communicate risks early, and follow through to resolution.

Key Responsibilities

Accounting Operations & Month-End Close

  • Own and manage the organization’s day-to-day accounting operations, including accounts payable, accounts receivable, general ledger activity, journal entries, deposits, cash receipts, and financial recordkeeping.
  • Maintain the accuracy, completeness, and integrity of the general ledger and chart of accounts across organizational, program, grant, healthcare, and unrestricted activities.
  • Perform and/or review monthly bank, credit card, balance sheet, payroll, receivable, revenue, and other account reconciliations, ensuring reconciling items are investigated and resolved promptly.
  • Lead a timely, accurate, documented, and disciplined monthly close process and establish a recurring close calendar that supports reliable leadership reporting.
  • Investigate discrepancies, unusual transactions, unreconciled balances, duplicate or unsupported activity, aging items, and other accounting issues and drive appropriate resolution.
  • Prepare monthly financial statements and internal management reports for the CEO, including income statement, balance sheet, cash position, budget-to-actual results, and other schedules needed for organizational decision-making.
  • Ensure transactions are appropriately classified, allocated, supported, documented, approved, and recorded in the proper accounting period and funding source.
  • Maintain accounting records in accordance with Generally Accepted Accounting Principles (GAAP), applicable nonprofit accounting requirements, grant requirements, and organizational policies.
  • Monitor organizational cash balances, near-term obligations, receivables, and anticipated funding activity and provide accurate information to support cash-flow planning and forecasting.

Grant & Restricted-Fund Financial Management

  • Own the financial accounting and tracking for multiple grants, contracts, programs, and restricted funding sources simultaneously.
  • Establish and maintain complete financial records and working budgets for each grant award, including approved budget, amendments, funding period, restrictions, reporting deadlines, and allowable-cost requirements.
  • Track awarded, received, invoiced, drawn, spent, committed, and remaining funds throughout each grant period.
  • Ensure expenses and personnel costs are appropriately allocated among grants, programs, departments, healthcare operations, and unrestricted operating funds using consistent and supportable methodologies.
  • Monitor restricted and unrestricted funds and ensure restricted resources are used in accordance with donor, contract, governmental, and funder requirements.
  • Prepare grant-specific budget-to-actual reports, spending projections, and burn-rate analyses and provide clear status reporting to the CEO and appropriate program or grants leaders.
  • Proactively identify grants that are underspent, overspent, approaching expiration, missing documentation, experiencing allocation concerns, or otherwise at risk of financial noncompliance.
  • Prepare or support the financial components of grant reports, reimbursement requests, drawdowns, invoices, budget revisions, closeouts, and funder monitoring requests.
  • Maintain organized financial documentation sufficient to demonstrate appropriate use of funds and support monitoring visits, grant audits, external audits, and other reviews.
  • Assist the CEO and program/grants leadership with development and review of budgets for new grant proposals and funding opportunities.
  • Reconcile financial grant reporting to the general ledger and collaborate with program and grants staff so financial and programmatic reporting remain aligned.

Healthcare Revenue & Receivables
As Village of Healing continues to expand healthcare reimbursement as a significant source of organizational revenue, the Finance & Accounting Manager will own the accounting-side reconciliation and financial reporting of healthcare-related revenue. Direct medical billing or coding is not required; however, the manager must be able to reconcile billing and payment activity to the accounting records and work effectively with internal and external revenue-cycle
partners.

  • Monitor and reconcile healthcare revenue recorded within the accounting system.
  • Reconcile payments and receivables associated with Medicaid, commercial insurance, and self-pay activity to available billing, remittance, deposit, and payment information.
  • Work collaboratively with internal staff and external billing/revenue-cycle partners to identify and resolve differences among billing activity, payments received, adjustments, receivables, deposits, and accounting records.
  • Monitor outstanding healthcare receivables, aging trends, collections, and unresolved balances and provide timely financial reporting to the CEO.
  • Ensure healthcare revenue and related receivables are appropriately recorded, classified, reconciled, and supported within the general ledger.
  • Develop and maintain financial controls and reconciliation processes capable of supporting increasing healthcare reimbursement volume and a growing earned-revenue portfolio.

Budgeting, Financial Reporting & CEO Support

  • Budgeting, Financial Reporting & CEO Support
  • Create and Partner directly with the CEO in the development, implementation, and ongoing
monitoring of the organization’s annual operating budget for CEO approval.
  • Maintain oversight of multiple organizational, departmental, program, healthcare, and grant
budgets and ensure leadership has timely visibility into financial performance.
  • Prepare monthly organizational, departmental, program, and grant budget-to-actual reports
    and analyze significant variances.
  • Work with the CEO and organizational leaders to understand the operational causes of budget
variances and identify corrective actions or forecast adjustments when appropriate.
  • Provide timely and accurate financial information to support forecasting, cash-flow
management, grant spending decisions, resource allocation, and organizational planning.
  • Prepare financial analyses, schedules, dashboards, and supporting reports needed for CEO,
Board, and Finance Committee review, as requested by the CEO.
  • Identify unusual financial trends, transactions, discrepancies, budget concerns, cash
constraints, compliance risks, and emerging financial issues and promptly communicate them
to the CEO with relevant context and recommended next steps.
  • Develop financial reporting structures and recurring management reports that improve
transparency, accountability, and decision-making as the organization grows.

Payroll & Personnel Cost Allocation

  • Review and reconcile payroll expenses, payroll liabilities, benefits, payroll taxes, and related
    general ledger accounts.
  • Ensure salaries, benefits, payroll taxes, and other personnel costs are accurately and
consistently allocated among programs, grants, departments, healthcare operations, and
    unrestricted operating funds.
  • Maintain supporting documentation for grant-funded personnel costs and payroll allocations
as required by applicable funders and organizational policy.
  • Work with the CEO and appropriate operational staff to update salary allocations when
funding sources, employee responsibilities, or program assignments change.
  • Reconcile payroll reports to the general ledger and investigate and resolve discrepancies in a
    timely manner.

Audit, Compliance & External CPA Coordination

Village of Healing works with an external CPA/audit firm that conducts the organization’s annual audit and prepares the organization’s Form 990. The Finance & Accounting Manager is responsible for keeping internal accounting records complete, accurate, organized, reconciled, and audit-ready throughout the year and serves as the organization’s primary internal accounting liaison for these external processes.

  • Maintain audit-ready financial records, reconciliations, schedules, and supporting
    documentation throughout the year.
  • Coordinate preparation of financial schedules, trial-balance support, reconciliations, grant
documentation, payroll support, confirmations, and other records requested by the external
    CPA/audit firm.
  • Serve as the primary internal point of contact for accounting-related audit requests and
coordinate timely responses across the organization.
  • Support preparation for the annual financial audit and Form 990 process and ensure requested
information is complete, organized, and traceable to the accounting records.
  • Research and respond to auditor questions and provide appropriate supporting documentation
    and explanations.
  • Partner with the CEO to implement audit recommendations, corrective actions, and financial-
    control improvements when necessary.
  • Maintain financial documentation that supports funder, regulatory, audit, Board, and
    organizational reviews.

Financial Systems, Policies & Internal Controls

configuration, close process, and internal controls and establish priorities for strengthening
    the finance function.
  • Design, document, implement, and maintain practical accounting procedures and financial
workflows that promote accuracy, timeliness, accountability, and appropriate segregation of
    duties.

including approval authorities, payment controls, vendor controls, journal-entry practices,
reconciliations, payroll access, and documentation standards.
  • Ensure organizational expenditures, payments, reimbursements, and accounting adjustments
follow established approval and documentation requirements.
  • Maintain internal controls appropriate for the organization’s size and structure, including
controls that recognize this position has no direct reports and therefore require thoughtful
separation of initiation, approval, custody, recording, and reconciliation responsibilities.
  • Recommend improvements to accounting systems, reporting tools, financial technology,
workflows, and data practices when appropriate.
  • Develop scalable financial processes capable of supporting organizational growth, multiple
grants and budgets, and increasingly diversified healthcare and philanthropic revenue.
